Guide for Expedition Leaders

Everything you need to know about leading successful expeditions on We Go Yonder

Getting Started

Welcome to We Go Yonder! As an expedition leader, you'll create and manage adventures, review applications, and build teams for unforgettable journeys. You can choose between traditional application-based expeditions or Instant Book commercial trips.

1. Creating Your Expedition

Use our expedition creation tool to set up your adventure. Choose between regular expeditions (application-based) or Instant Book trips for commercial offerings.

  • Choose a clear and descriptive title
  • Set appropriate difficulty levels and experience requirements
  • Include detailed itinerary, route information, and packing list
  • Set realistic group size limits
  • Decide: Regular expedition (application review) or Instant Book (commercial)
  • Set clear pricing and payment terms

2. Managing Applications (Regular Expeditions)

For regular expeditions, you'll receive applications from interested explorers. Review them carefully to build the right team for your adventure.

  • Review applicant profiles and experience
  • Look for relevant skills and positive attitudes
  • Contact applicants for discussion if needed
  • Consider a quick call or video chat with applicants before accepting — it's the best way to gauge fit
  • Send offers to qualified candidates (typically more than spots available)
  • Monitor acceptances and wait for payment confirmations

3. Instant Book Management (Commercial Trips)

Instant Book trips skip the application process. Participants book immediately based on availability.

  • Set clear availability and booking limits
  • Participants receive immediate confirmation upon payment
  • No need for application review or discussion stage
  • Focus on delivering a professional, well-organized experience

4. Team Communication

Once participants are confirmed (through offers or Instant Book), maintain clear communication throughout the expedition lifecycle.

  • Send detailed expedition information after payment confirmation
  • Create group communication channels
  • Share packing lists, meeting points, and schedules
  • Conduct pre-expedition calls or meetings if needed
  • Provide regular updates as the expedition approaches

5. Safety & Responsibility

Safety is paramount. Whether leading a community expedition or commercial trip, you're responsible for participant wellbeing.

  • Conduct thorough risk assessments
  • Have emergency plans and communication protocols
  • Ensure all participants have appropriate insurance
  • Maintain proper certifications and qualifications
  • Know local regulations and requirements

We Go Yonder does not provide travel insurance, act as a tour operator, or accept legal liability for expeditions organized through the platform — leaders and participants are responsible for their own insurance and risk decisions.

6. During the Expedition

Lead with professionalism and create an inclusive, memorable experience for all participants.

  • Follow the planned itinerary while remaining flexible
  • Address conflicts or issues promptly and fairly
  • Share knowledge and teach relevant skills
  • Document the journey with photos and notes
  • Ensure everyone feels included and valued

7. Post-Expedition Follow-up

The journey doesn't end when the expedition does. Build your reputation and help the community grow.

  • Gather feedback from all participants
  • Share photos and trip reports with the community
  • Update participant profiles with completed expeditions
  • Address any issues or concerns that arose
  • Plan your next adventure!

Pro Tips

  • Over-communicate rather than under-communicate
  • Start with smaller expeditions to build your reputation
  • Be clear about expectations from the beginning
  • For commercial trips, ensure you have proper business licenses and insurance
  • Build relationships with other leaders in the community
